Assistant Administrative Officer

RESPONSIBILITIES:


l   Lead administrative staff to provide all-round administrative support to the department

l   Centralization of procurement functions for non-merchandising items and assure all purchases of the department to be made strictly complying with policies

l   Supervision on supplier / contractor management, including basic creditability checking, track records for the performance of suppliers, fixing terms and conditions, price and terms negotiation with suppliers, etc.

l   Asset management related to IT and Property, such as Wi Fi, CCTV, broadband, voice system, air conditioning system, pest control and security

l   Establish and maintaining central filing system

l   Responsible for payment issues, such as payment vouchers, reimbursement, invoices, auto-pay arrangement, petty cash, and so on

l   Organize and schedule meetings, take minutes, issue notices and announcements for the management

l   Observe the environmental, health and safety policy and regulations

l   Perform other duties as assigned by supervisor and management


REQUIREMENTS:

  • An understanding of the Christian faith, values and ethos of The Salvation Army
  • Bachelor’s Degree in Business Administration or other disciplines, with a minimum of 3 years of Administrative experience in field of Supply Chain /Warehouse Operations/Logistics Management, preferably in multi-national company related to Retail industry
  • Advanced knowledge of MS office
  • Demonstrated strong leadership skills when confronted with difficult situations exhibiting ability to keep the team focused and motivated
  • Ability to drive successful partnerships with cross-functional leadership to execute strategic initiatives and develop strategic roadmaps
  • Demonstrated ability to dive deep in understanding our business, and the competitive landscape
  • People management skills - Ability to lead different levels of staff
  • Proven track record of complex and creative problem solving and the desire to create and build new processes and strong analytical skills
  • Ability to work in a fast-paced environment where continuous innovation is desired
  • Excellent written and verbal communication skills
